A company picnic is a mixed event: people drift between the food, the games and the shade. You do not need a seat for every attendee, but you need enough that nobody eats standing up holding a paper plate in two hands.
The trailer covers the seating and a bounce house covers the kids, which is what actually drives attendance. Both in one booking, one quote.

Most rental companies price per chair per day, so a Friday-to-Sunday event gets multiplied by three before delivery is even added. We rent the trailer, not the chair — one flat price whether you pull a dozen off the rack or empty it.

Bounce houses and water slides for the families. They are usually the difference between employees showing up alone and employees bringing their families.
Picnics run mixed — some people sit, plenty stand at the grill. Half your headcount is a reasonable starting point, and a full trailer covers a picnic of around 350.
